Procedure to Request an Exception for Weapons on Campus

- Introduction
This document describes the procedure to request a one-time or ongoing exception for weapons on campus, as referenced in the Weapons on Campus Policy.
This procedure is available to Students, Employees, and third parties who are present on University Property for work purposes, including, but not limited to, contractors, vendors, volunteers, and DCCs.
Definitions
Capitalized terms used but not defined in this procedure have the meaning assigned in the Weapons on Campus Policy.
Business Day means Monday through Friday, except for official University holidays and closure days.
- Procedure
- Pursuant to ABOR Policy 5-308 (F)(24), requests for one-time or ongoing exceptions to prohibitions on the use, possession, display or storage of a Weapon, Dangerous Instrument, Explosive Material or Device, torch, device with open flames, Fireworks, bomb-making materials, or potentially dangerous chemicals on University Property, at a University-Sponsored or University-Sanctioned/Approved Activity or otherwise contrary to University policy must be submitted in writing at least fifteen (15) Business Days in advance and are subject to the following review process:
Any request to use, possess, display, or store a Weapon on University Property in connection with official University business will first be reviewed by the responsible dean, or department head and unit lead. The dean, or department head and unit lead, may comment and will forward the request to the Provost for review and comment.
The request must:
- Include the name of the requesting individual(s) and name(s) of individuals for whom the exception request is being made;
- Include the contact information for the requesting individual(s), including:
- telephone number
- email address
- mailing address
- status at the University (e.g., Student, Employee, Designated Campus Colleagues)
- Identify the purpose of the request;
- Identify how this request furthers the mission of the University.
- Identify the prohibited item;
- Picture of the prohibited item;
- Identify the duration of the request (for exemption requests longer than twelve (12) months, an exemption request renewal is required annually prior to the end of the current exemption period);
- Identify a responsible person;
- Identify how the prohibited item will be secured; and
- Identify how the prohibited item will or may be used.
- Following the Provost review, the request will be forwarded by the Provost, or designee, to the Office of the University Chief of Police at least ten (10) Business Days prior to the intended date of such use, possession, display, or storage.
- The request will be evaluated by the University Chief of Police, or the Chief of Police’s designee, and a written decision must be rendered within ten (10) Business Days prior to the intended date of such use, possession, display, or storage. If the request is approved, the approval will include any conditions or restrictions necessary to require safety and consistency with the intent of ABOR policies. If approval is given, it must be reviewed annually and renewed by the requester. UAPD will keep all requests on file and available for confirmation by police officers.
